Pay Rate: €14.50 – €16.50 per hour, depending on experience
About the Role
We are currently seeking an Office Administrator to join an established engineering company based in Rathnure, Co. Wexford.
This is a part-time position, working Monday to Thursday from 10:00am to 4:00pm. The successful candidate will provide general administrative support while helping to keep projects, meetings, costs and company communications organised.
Key Responsibilities
- Manage and distribute the company inbox, ensuring correspondence is dealt with promptly and appropriately.
- Provide general administrative support to management and the engineering/project teams.
- Schedule meetings, coordinate diaries and take accurate meeting minutes, including recording and following up on agreed actions.
- Track project costs, including labour costs and hours worked.
- Manage the company clock-in/timekeeping system and provide weekly information for payroll processing.
- Maintain accurate fleet records, including vehicle assignments, Tax and NCT details.
- Manage weekly vehicle checklist documentation and monthly mileage records.
- Oversee fuel card allocation, limits, PIN/security and usage reporting.
- Complete data entry and maintain accurate records, spreadsheets and reports using Excel.
- Reconcile company credit card/expense statements and maintain supporting documentation.
- Assist with project administration and reporting.
- Update company documents, templates and records as required.
- Use the company ERP system to record and manage relevant information.
- Ensure records and documentation are maintained accurately and in line with GDPR requirements.
Skills & Experience
- Previous experience in an Office Administration, Project Administration or similar role.
Certificate or diploma in business administration - Strong organisational and time-management skills.
Working knowledge of GDPR principles and practical application in an office context. - Good attention to detail and accuracy.
- Excellent communication and email management skills.
- Good working knowledge of Microsoft Excel, including data entry and maintaining spreadsheets.
- Ability to take clear and accurate meeting minutes.
- Comfortable following up on actions and working to deadlines.
- Experience tracking costs, hours or project information would be an advantage.
- Experience with clocking/timekeeping systems would be an advantage.
- Experience using ERP systems would be beneficial.
- Experience with Workpal would be a distinct advantage.
- Previous experience within an engineering, construction or project-based environment would be beneficial.
